Modernising procurement practices within a traditional environment
The challenge
This sporting venue has many years experience in providing high quality, high volume catering services. Traditional procurement methods resulted in a fragmented procurement process. Failing to build upon strong supplier relationships meant that service at critical times could often be inconsistent, and certainly needed high levels of manual support and maintenance.
The solution
Following a period of supply chain evaluation and subsequent consolidation, the agreed changes were locked in by implementing the epsys e-procurement solution. The system has subsequently been extended to provide functionality to manage and control menu costings and to value and administer food stock.
The results
Implementing epsys ensured that purchasing was channelled only through chosen supply routes; whilst retaining real choice for system users.
Epsys was, and continues to be used to closely monitor service levels ensuring that supply choices remain appropriate to the organisation.
The implementation of a lean procure to pay process has resulted in significant reductions in the levels of administration required to process orders and invoices.
Despite operating in a well established traditional environment; the ease of use of the system has ensured that the changes required have been accepted readily by the operating staff. As a result, the system is now being used outside the catering environment to purchase all non-food items too.
